Forwarding a suitcase can simplify a car-free Hokkaido trip, but only if the bag reaches a place that can accept it before you need it. Start with your overnight stops and receiving hotel, not a promise of next-day delivery. This guide separates hotel delivery, storage and airport pickup so you can choose the right arrangement.
- Confirm both the carrier’s delivery date and the hotel’s acceptance.
- Carry essentials for the whole time without the suitcase, plus a delay margin.
- Treat airport delivery as a separate service with its own deadline and counter.
1. Send it, store it or carry it?
Send the large bag ahead when you can manage the intervening nights with a smaller bag and the receiving hotel has agreed. Store it only when your route returns to the storage location within its collection hours. Carry it when you need its contents every night or cannot confirm a workable delivery window.
For a Sapporo–rural stay–Sapporo loop, ask the same Sapporo hotel whether it can hold luggage between two bookings. For a route continuing to Noboribetsu and then the airport, leaving the bag in Sapporo adds a collection journey. Compare that detour with delivery cost and the effort of taking it with you; forwarding is not automatically the cheapest option.

2. Confirm the receiving hotel before arranging collection
Send the receiving hotel your reservation name, booking reference, check-in and check-out dates, bag count and approximate dimensions. Ask whether it accepts luggage before arrival, how early, whether there is a fee, and exactly how to write the addressee. A room booking is not an agreement to receive a parcel. An unattended accommodation may need a different arrangement.
Ask the sending hotel separately whether it can arrange the shipment, which carrier and service it uses, its collection cutoff, payment options and any handling fee. If it cannot, check a named carrier office rather than assuming the nearest convenience store can handle the bag. Yamato notes that services and dispatch cutoffs differ by location.
Use the name recorded on the reservation consistently. Include the hotel’s confirmed address and contact details in the format it requests, and show the intended delivery date before paying. Keep a photograph of the waybill and tracking number. Do not publish reservation details or tracking documents online.
3. Choose the delivery date before splitting your luggage
Use the carrier’s current delivery-date search with the actual origin, destination and dispatch date, then confirm the local dispatch cutoff. Being in Hokkaido at both ends does not establish next-day delivery. A hotel’s morning luggage handover may still miss a collection, so ask which dispatch date applies.
Write each night on one line: where you sleep, where the suitcase is, and which bag supplies that night’s clothes. If expected delivery is after you leave a one-night hotel, choose a later base, carry the bag, or change the plan before handing it over. Do not put a hotel’s address on the label simply because it is your next stop.
Keep passports, money, essential medication, valuables, chargers and required travel documents with you. Pack clothing and toiletries for every night without the suitcase, with a practical delay margin. This is a packing recommendation, not a list of items the carrier accepts: check prohibited items, dimensions, weight and packing rules for the actual contents.

4. An example: skip a short stay, deliver to a longer base
Suppose you leave Sapporo, spend a short stay in an onsen town, then stay several nights in another city. If the carrier confirms delivery during that later stay and the hotel agrees to receive it, send the large case to the later hotel and carry a small bag through the onsen stop. This is a planning example, not a confirmed route or delivery schedule.
Put the warm outer layer and footwear you need for transfers in the small bag, not in the case going ahead. For children, keep a change of clothes and the items needed for meals and sleep accessible. If the later city changes, contact the carrier and receiving hotel immediately; do not assume that changing a hotel reservation redirects a parcel.

5. Airport pickup is not ordinary hotel delivery
Yamato’s Airport TA-Q-BIN page says to dispatch by the local cutoff two days before departure, or three days before in some areas. It describes delivery to the departure airport, not the arrival airport. Those are the service’s general instructions, not a confirmed deadline from your particular Hokkaido hotel.
Before using it, confirm the service is available for your departure airport and terminal, the exact counter, its hours, the route-specific dispatch deadline, charges and required collection documents. Airport arrival time must allow for collecting the bag before airline check-in and bag-drop deadlines. An early flight can make a counter’s opening time decisive.
Do not address ordinary hotel-style delivery to an airport and assume it will be waiting at an airline counter. If the service deadline or pickup hours do not work, carry the bag to the airport or confirm another arrangement before shipping.
6. If tracking shows a delay or you change hotels
Check the tracking record and contact the carrier with the waybill number, intended delivery date and the date you leave the receiving hotel. Ask what can actually be changed, whether an additional charge applies, and how the revised arrangement will be confirmed. The hotel may be able to identify a received bag, but cannot promise a carrier’s arrival time.
If your next departure is fixed, decide whether you can continue with the small bag and arrange a confirmed later delivery. Do not miss a flight while waiting for an unconfirmed parcel arrival. Keep receipts and contact records if you need to discuss a claim; reimbursement is subject to the applicable terms, not a guarantee made by this guide.
Changing the hotel after dispatch: redirection is not free
Yamato’s address-change notice says that parcels accepted from 1 June 2023 incur the regular fare from the address on the waybill to the revised address when redirected. The recipient pays this additional freight charge on delivery. Paying the original shipment charge in advance does not make a later hotel-to-hotel redirection free. The notice also says redirection is unavailable when the sender has prohibited it.
Before requesting a new hotel address, ask the carrier whether this parcel can be redirected, the revised delivery date and the additional charge. Separately ask the new hotel whether it will accept a freight-collect parcel, who must be present to pay and how payment will be handled. Do not assume reception will advance the money. If acceptance or payment cannot be agreed, ask the carrier for an eligible alternative rather than naming another unconfirmed hotel.
The notice distinguishes address redirection from the separate free pickup-location change available to Kuroneko Members at eligible offices, stores or lockers. This is not a promise that a visitor’s suitcase qualifies or that any nearby counter can receive it. Confirm eligibility, size, collection deadline and identification requirements with the carrier. If the first hotel already has the suitcase, ask whether onward movement requires a new shipment; do not treat it as an automatic redirection of the original parcel. This notice was checked on 25 October 2026 (JST); the contact sequence is editorial advice, not confirmation of a particular delivery.

7. Copyable hotel inquiry and final check
“I have a reservation under [name], reference [number], from [check-in] to [check-out]. May you receive [count / dimensions] bags on [proposed date]? Please confirm the permitted arrival date, any fee and the exact address/name format. Does someone need to be present to receive them?”
Before dispatch, record: sending location and cutoff; receiving hotel’s agreement; quoted arrival date; contents and size acceptance; total charge; tracking number; essentials kept with you; and the next action if delivery is late. Compare all-bag shipping with sending only one shared case.
Official Yamato service pages were checked on 21 October 2026. No hotel’s individual acceptance, current route-specific delivery date or price has been confirmed here. The cover photograph is a Jozankei direction sign in January 2018, an illustration of a winter accommodation journey, not a parcel counter or current road conditions.

Left something at a hotel? Confirm recovery before arranging delivery
An item left in a room is not a parcel already in transit. Contact the hotel through its official contact details with your booking name, stay dates, room number if known, where you last saw it, and a precise description. Ask whether the item has actually been found and how long it can be held. A message received by reception is not confirmation of recovery or dispatch. These are editorial contact steps, not a common lost-property policy for every hotel.
Once the item is identified, compare collecting it yourself, collection by someone you nominate, and shipping. Ask what identification or authorisation is needed, when collection is possible, and whether the hotel can pack and send that particular item. Confirm postage, packing or handling fees and how to pay. Do not assume the hotel offers free return shipping, accepts a foreign payment card remotely, or can send every item overseas.
If sending it to a later hotel in Hokkaido, obtain that hotel’s agreement before giving the address. Confirm the actual dispatch date and estimated delivery date, not just when you asked for help. Choose a stay long enough to receive it; a one-night stop or your departure airport is not automatically a workable destination. For overseas return, ask separately whether the sender and carrier accept the destination, contents and required paperwork. Keep the tracking number after dispatch; an agreement to send is not a collection scan.
If the item is a passport, essential medicine, phone or payment card, do not make an unconfirmed parcel arrival your only plan. Contact the relevant issuer, consulate or healthcare service as appropriate for the item and the urgency. Use the hotel’s private contact channel for ownership checks, not a public review or social post. Never send passwords or card security codes as proof of ownership.
Message template: “I stayed under [name], [dates], room [number if known]. I may have left [item, colour, identifying details] at [location]. Has it been found, and until when can you hold it? Before dispatch, please confirm collection or shipping options, the full cost and payment method. I will confirm the receiving address and date separately.” Keep the response and do not interpret silence as approval.
Measure the case before choosing a forwarding counter
Yamato's standard TA-Q-BIN conditions, checked October 27, 2026, allow up to 200cm in total length, width and height and 30kg. One side may be no longer than 170cm; for items with a required transport orientation, such as those that cannot be turned upside down, the longest side is limited to 100cm. These are Yamato's conditions, not a rule for every carrier or hotel.
Some convenience stores cannot accept size 180 or larger items. Give the hotel or counter the actual measurements, weight, contents and handling requirements, then confirm packaging, the acceptance location and quote before taking the case there. An airline's checked-baggage allowance does not establish eligibility for forwarding.
Yamato's Airport TA-Q-BIN page also excludes items over 30kg. Meeting the size limits does not establish a delivery date, airport deadline or the hotel's agreement to receive it; confirm those separately.
Hotel luggage storage: before check-in, after checkout and between bookings
Confirm the dates of storage separately from the nights you occupy a room. Before check-in, the day of checkout and several days away at another destination may have different conditions even at the same hotel. Give the actual drop-off and collection times, bag count and dimensions; a general guest-luggage-storage notice is not approval for every gap in your itinerary. These are planning questions, not a promise of free storage or particular opening hours.
For a Sapporo–onsen–same Sapporo hotel loop, provide both booking names and stay dates and ask specifically about keeping the case over nights when you are not a guest. Do not assume another property of the same brand will transfer it. Ask what happens to collection deadlines and fees if you cancel the return booking. If storage is not agreed, carry the case or use a separately confirmed delivery arrangement.
On departure day, work back from airline deadlines through the airport journey, the walk to the station and collection at reception. Confirm access hours, the pickup desk, claim ticket or identification requirements, and whether a companion can collect without you. Include the detour from your sightseeing stop to the hotel. A 24-hour reception notice is not confirmation that stored bags can be collected at any time.
Before handing over the case, remove medication, warm layers, chargers and travel documents needed that day. Keep the claim ticket and a record of the bag count; match tags and count the bags when collecting them. Contact the hotel if you will be late rather than assuming an overnight extension or collection by someone else is allowed.
Message template: “I am booked under [name] for [stay dates]. May I store [count and dimensions] bags from [date/time] until [date/time]? I will not be staying on [intervening dates]. Please confirm the fee, collection hours and location, claim ticket or identification requirements, and how to contact you if plans change.” Send reservation details through the hotel’s private contact channel and save its reply with your itinerary.
Tracking says delivered, but the hotel cannot find your suitcase
Treat a delivered tracking status and personally collecting the case as separate checks. Compare the waybill address, full hotel name, stay dates and addressee with your booking. Note a possible branch-name mix-up, a difference between booking and recipient names, or confusion between several cases. These are inquiry steps, not a conclusion about what happened to the shipment.
Give the hotel the waybill number, displayed delivery time, bag count, colour and identifying marks through a private channel. Ask whether staff can check receipt records and the designated storage area, rather than only what is beside the front desk. Do not enter staff areas or open a similar-looking case yourself; let staff match the number and description.
If the hotel cannot locate it, tell the carrier that tracking shows delivery but the accommodation cannot confirm the physical bag. Request a check of the delivery destination and handover record. Explain what the hotel has checked, give a reachable contact number and state your checkout time. An investigation being accepted is not confirmation of recovery or redelivery: record the case reference and how the next response will arrive, without declaring the bag lost or misdelivered yourself.
For several cases, list each waybill number alongside whether that particular bag has been received. Separate collected bags from those still unconfirmed; do not assume the whole group arrives together. Before leaving, agree who will handle further contact. If a new receiving address is needed, first establish the bag’s location and whether the carrier can change delivery, then confirm the next hotel’s acceptance and any costs.
Message template: “Waybill [number] shows delivered at [date/time], but [full hotel name] cannot yet locate the bag. My booking is under [name]; the case is [colour/identifying marks]. Please check the delivery destination and handover record and tell me how you will contact me next. I plan to leave at [date/time].” Once found, match the number, count and ownership at collection, and tell any other desk handling the inquiry that it is resolved.
